Purpose
Professional headshots are used to support clear identification, effective communication, and transparency between union representatives and members. Displaying headshots helps members recognise their representatives, fosters trust and approachability, and strengthens engagement across workplaces.
The use of headshots also supports the union’s credibility, professionalism, and readiness for public advocacy, while reflecting the union’s values of solidarity, inclusivity, and accountability.

Use of Headshots
Approved headshots may be used in official union materials, including but not limited to:
• Union websites and digital platforms including Advance social media channels
• Newsletters, emails, and other member communications
• Workplace noticeboards and promotional materials
• Campaign, advocacy, and media-related activities

Headshots will only be used for legitimate union purposes and will not be used in a misleading, commercial, or personal context.

Consent
By providing a headshot and signing this policy, union representatives:
• Consent to the use of their image for official union purposes as outlined above
• Acknowledge the importance of visibility and accountability in their representative role
• Understand that headshots may be used across multiple communication channels to support member engagement and union activities

Privacy and Data Protection
The union is committed to protecting the privacy and dignity of its representatives. Headshots will be:
• Stored securely
• Accessed only by authorised personnel
• Used in accordance with relevant privacy and data protection legislation
Headshots will not be altered in a way that misrepresents the individual.

Withdrawal or Update of Consent
Representatives may request to update or withdraw their headshot where circumstances change (for example, role changes or departure from office). Requests will be actioned within a reasonable timeframe, noting that previously published materials may not be immediately removable.
